ICP Miami's email and file infrastructure ran on an aging on-premise Exchange server at their Miami HQ. Users in Panama and Latin America accessed shared files over slow VPN connections, and any server issue in Miami took down productivity for all three locations simultaneously.
Password policies were inconsistent, MFA was not enforced, and there was no Conditional Access policy to block logins from untrusted locations. The IT team had no visibility into who was accessing what from where — a significant risk for a company handling sensitive supplier and customer data across multiple countries.
INS executed a phased migration to Microsoft 365, starting with a full mailbox migration from on-premise Exchange to Exchange Online. All user accounts were moved to Microsoft Entra ID (formerly Azure AD), with INS configuring Conditional Access policies to enforce MFA for every user on every device — no exceptions.
File shares were migrated to SharePoint Online and OneDrive, giving all three locations fast, cloud-native access to shared documents without VPN dependency. INS configured SharePoint permission structures to mirror ICP Miami's departmental organization, and trained staff at all three sites on the new platform.
Conditional Access policies were tuned to block sign-ins from high-risk locations and require compliant devices for access to sensitive SharePoint libraries. INS also configured Microsoft Defender for Business across all endpoints, giving the INS NOC visibility into endpoint health alongside the identity and cloud workload signals from Entra ID.
100% MFA Enforced
Every user at all three locations now authenticates with MFA. Conditional Access blocks non-compliant sign-in attempts automatically.
RTO Reduced to Hours
With no on-premise servers, recovery from any single failure is a cloud failover — not a hardware replacement. RTO dropped from days to hours.

Panama and Latin America users access shared files at full cloud speed — no more slow VPN file transfers or sync conflicts.
Zero On-Prem Servers
